Terms of Service

Effective date: October 9, 2026 · Version 2026-10-09.1

These terms govern The Gaffer team management service operated by The Gaffer LLC in British Columbia, Canada. “We”, “us” and “our” mean The Gaffer LLC. Please read these terms and the Privacy Policy before accepting an account agreement or purchasing a subscription.

1. The service and our role

The Gaffer supplies amateur and recreational soccer team software for rosters, schedules, availability, attendance, results, statistics, resources and communications. Features depend on team capabilities and integrations. Listing an activity does not make us its organizer, supervisor, insurer or medical provider.

A club, league or competition name or crest does not establish endorsement or authority over your team. Organizers remain responsible for their own rules, safeguarding, insurance, venues and participation agreements. External leagues remain authoritative for official fixtures, results and standings.

2. Accounts and guardians

Account holders must be adults with legal capacity to agree. Keep your contact details accurate, protect your credentials and report suspected unauthorized access. You are responsible for activity you authorize, subject to your legal protections.

Children do not use independent team accounts. An authorized adult guardian accesses a linked child's roster profile and shared communications. Only represent a child when you have lawful authority. Notify the team and us if that authority changes or a safeguarding concern arises. An account agreement does not provide organizer-specific sporting participation consent or affect a child's legal claims.

3. Team access and responsibilities

Current team access, assigned roles and explicit permissions determine what each person can read or change. The designated team owner controls ownership transfer and team deletion; billing permissions control purchases. Do not grant access or upload another person's information without the necessary authority and appropriate notice or consent.

Staff must keep guardian relationships and minor status accurate. Every currently linked eligible guardian can see the child's shared correspondence and private conversation history, including earlier messages; the actual adult reader or author is identified. Removing a link removes future access through that link, but does not erase earlier authorship. Resolve contested authority with appropriate safeguards before sharing information.

4. Acceptable use and safety

Use the service lawfully and respectfully. We may restrict access or remove content to address violations, protect people or secure the service. Where practical and appropriate, we will explain the reason and provide a support contact. Urgent risks may require immediate action.

  • Do not harass, threaten, discriminate, impersonate others or share unlawful, exploitative or abusive content.
  • Do not publish private contact, child, health or correspondence information without authority.
  • Do not bypass permissions, attack systems, harvest accounts, send spam or misuse private access links.
  • Do not use messages or AI features for emergencies; contact emergency services directly.

5. Your content and our software

You retain rights in your content and grant us limited permission to store, display, transmit and process it for features you use, service support and lawful obligations. This does not authorize unrelated advertising using private team content.

Upload only material you may lawfully use and respect intellectual property and privacy. Our software and original materials remain ours or our licensors'. Team members can access or download shared material according to their permissions; consider its audience before uploading.

6. Purchases, renewal and cancellation

Paid subscriptions cover one team and currently bill annually in Canadian dollars through Stripe. Players and guardians are not separately billed. Checkout must show the total price, applicable taxes, billing period, renewal terms and cancellation information before you authorize payment. A subscription renews according to the terms disclosed at purchase unless cancelled.

An authorized billing user can access the Stripe billing portal from Settings or contact support about cancellation or a billing problem. Cancelling a subscription and deleting a team are different actions. Review the cancellation confirmation for its effective date and changes to paid access; contact support if these are unclear. Any legally required renewal notice, cancellation right or refund applies regardless of these terms.

Future price changes require applicable notice and choices. A page update does not authorize an undisclosed charge. Keep purchase confirmations and report incorrect charges.

7. League connections, AI and MCP

Imported schedules may be delayed or changed by their source. Confirm important arrangements with the organizer. Supported league connections are managed through the platform's catalog, and availability of a third-party source is outside our sole control.

The in-app assistant and a separately authorized MCP client are distinct optional features. AI may produce incorrect or incomplete answers. Review proposed changes and verify advice before relying on it. Current permissions limit accessible tools, and sensitive supported changes require confirmation. An MCP client receives authorized team information under the grant you approve; its provider's own terms and privacy practices also apply. Revoking access prevents further authorized requests but cannot retrieve copies already received.

8. Privacy and communications

The Privacy Policy explains collection, team visibility, guardian sharing, providers, retention and your choices. An agreement to these terms is not permission for every unrelated future use of personal information.

Account security, invitations, team announcements and addressed correspondence may generate service emails. Chat notifications are in-app only. Delivery preferences do not change who can access shared history. Promotional electronic messages require an appropriate consent or other lawful basis and the identification and unsubscribe facilities required by Canada's anti-spam law; accepting these terms is not a separate marketing opt-in.

9. Ending access and handling deletion

You may ask support to close your account or address a privacy request. Leaving a team does not automatically delete its shared records or cancel its subscription. Ask the authorized team owner to handle ownership and team lifecycle matters before closing an account that manages a team.

Team deletion hides product content, normally schedules purge after 30 days, revokes integrations/calendar grants and requests subscription cancellation. This delay does not guarantee restoration. Purge can be delayed where cancellation or storage removal needs retrying. Billing and security records have separate retention considerations explained in the Privacy Policy.

10. Service limits and legal rights

We aim to provide a useful, secure service, but availability, imported information and AI output cannot be guaranteed. Keep appropriate copies of important records and use independent channels for urgent safety information. No statement in these terms removes a warranty, remedy, duty of care or liability that applicable law does not permit us to exclude.

Nothing in these terms limits a right or remedy that applicable law does not allow us to exclude or limit. Mandatory consumer, privacy and bodily-injury protections continue to apply. Guardian participation consent belongs to the named child, activity and organizer; accepting a software agreement does not authorize a child's participation in an unspecified sporting activity.

11. Changes, disputes and contact

Material changes will have a new dated version, accessible prior text, suitable notice and renewed acceptance where required. A page update alone does not authorize a new purpose for sensitive information. Electronic signing must provide the documents to review and a copy to keep.

These terms are governed by the laws of British Columbia and applicable federal Canadian law. Courts in British Columbia may hear disputes, subject to mandatory laws and any right you have to use a court or regulator elsewhere. This provision does not remove consumer or other protections that apply where you live, including Quebec protections where applicable.

Questions, complaints and requests for an accessible copy may be sent to The Gaffer LLC at [email protected] or 3875 Brocktron Place, North Vancouver, BC V7G 2E7, Canada. Contact us to seek a resolution; doing so does not prevent you from pursuing a remedy available under law.
